When the emergency board passes a number of open jobs you set, new enquiries get an immediate honest reply: today is full, here is the first slot, reply YES to hold it and here is what to do about the stopcock meanwhile. That message keeps people who would otherwise vanish, and it converts a chaotic Tuesday into a booked Thursday. Missed calls fire a text-back within a minute, because a plumber under a sink cannot answer either.

The dated automations are where the recurring money is. A boiler installation triggers a service reminder eleven months later, which is both revenue and a warranty condition most customers do not realise they are breaching. Landlord gas safety records trigger a reminder at ten months, so the CP12 is renewed before it lapses rather than after a letting agent panics. Installation quotes get chased at day two, day seven and day fourteen, because the fixed-price online sellers reply instantly and your quote is being compared against a website that never goes quiet.

What the build involves

The build covers the three boards, the missed-call text-back, the overflow rules and threshold, and then the important part: getting your existing customer list in with installation and service dates attached. That last piece is tedious and it is where the value sits, because a service reminder programme with no dates in it reminds nobody.   • Chasing a boiler quote once, by email, four days later. The fixed-price sellers replied within the hour and follow up for a fortnight, and that is who you are actually competing against.
  • Storing landlord certificates in a folder with no renewal date attached. That is an annual, predictable, low-effort income stream being handed to whoever remembers first.

What should the overflow message actually say?

A realistic date and one useful instruction. Something like: we are fully booked today, the first engineer slot is Thursday morning, reply YES to hold it, and in the meantime here is where your stopcock usually is. It works because it is honest and immediately useful. A message promising a call back within twenty-four hours during a freeze is neither.

Is the annual service reminder worth the effort to set up?

It is the highest-return automation in plumbing, and it takes the most work because the dates have to be gathered. Once it exists it runs without you: every installation adds itself to next year’s reminders automatically, so the programme grows on its own. It also protects warranties, which gives you a reason to contact people that is genuinely in their interest.

Do we still need a separate job management system?

Usually yes, and we do not fight it. Engineer scheduling, parts, certificates and invoicing tend to stay where they are. The CRM owns the enquiry, the quote, the chase and the dated reminders. The link between them matters: a job completed in the field system should set the service date here, or you are back to typing dates into two places and doing neither properly.
